how to set up a room for a seminar

Room layout for up to 24 participants.
Room dimensions are minimums. Preference is for room with windows. Note the
waste baskets and instructor's table. Provide a flip chart. Provide an overhead
projector with extension cord, but no cart or screen.

The chairs should be comfortable. The room dimensions are minimums!
Do not accept the hotel’s or meeting facility’s seating standards since they do not reflect the needs of this seminar/workshop.

For 20 participants, the room should be a minimum of 26 feet wide and 35 feet deep. For the maximum of 24 participants, the room should be a minimum of 30 feet wide and 35 feet deep.

Please note the space requirement for the instructor = 10 feet from nearest student to the back wall.

Comfort is very important. Air conditioning fan and airflow noises must be non-existent. Temperature and humidity must be comfortable and controllable.

Solid noise barriers to neighboring rooms to prevent interference/disturbances are a must.

Lighting must facilitate comfortable reading. Fancy ceiling and wall fixtures that are designed for dinner settings should be avoided.

SCHEDULE

Unless other arrangements are made, the seminar starts at 8:00 a.m. and ends at 5:00 p.m. on the first day, 4:30 p.m. the second day. Let me know if another schedule is desired.

10 minute breaks are provided every hour.

Luncheon breaks are from 12 Noon till 1:00 p.m. Please arrange to have luncheons served in a separate room to minimize disruptions or serve buffet style. Pre-ordered menu is better than ordering from a menu. The latter makes it difficult to meet schedule requirements.

OTHER ARRANGEMENTS

Please reserve a non-smoker’s room, with two double or queen size beds, for arrival the night before the seminar, for my use. Please request the hotel to pre-assign the non-smoker room.

NOT NEEDED

Ashtrays, Lectern, Microphones, Podium, Lectern, “Tent” (name) cards
